About the role:

Being a part of the Assets and Infrastructure team, you will be focussed on providing support in all aspects document management of technical internal documents. You will support best practice and continually look to improve on policy, practices and systems.

You will be required to undertake drawing administrator tasks, including:

  • Timely processing all given tasks including data entry, microfilm scanning, electronic filing, distributing & archiving
  • Maintain document/drawing control systems and structures, including registers, document approvals have been met
  • Maintain original documents/drawings, electronic filing updates and superseding revisions.
  • Ensure controlled documents are transmitted in accordance with project procedures.
  • Receive, track and issue vendor documentation/drawings
  • Liaising with consultant/contractor/client counterparts

You will be integral in ensuring the integrity and accessibility of engineering documents within Hydro Tasmania. You will act as gatekeeper in terms of storage and the practice use of Hydro Tasmania’s core asset data. In addition you will be a trusted adviser to internal and external clients and stakeholders regarding the use of the enterprise content management systems.

About You:

You are a highly motivated individual that has a passion for process and procedures. You’re systematic approach will help you drive efficiencies in both your own work, and the processes and procedures across the team.

Minimum Requirements:

  • Project control/Administrative related qualification at any level (not essential) or equivalent experience
  • Professional attitude and high level of attention to detail
  • Highly motivated, enthusiastic and the ability to use initiative- enthusiastic to develop new skills and take on new tasks
  • Advanced in MS Office suit including Excel, Word, and collaborative based storage (Teams, Planner, SharePoint)
  • Excellent client service both internal and external
  • Patient, collaborative and supportive co-ordination skills
  • Excellent written and verbal communication skills with the ability to liaise with staff at all levels with the organisation and a range of external consultants.
  • Effective time management and organisational skills with the capability to prioritise tasks
  • Best practice document management processes and procedures will be highly regarded.

You are self-motivated, have the ability to work autonomously. With excellent written and verbal communication skills, you will have the ability to effectively manage multiple stakeholders. Given the diverse nature of this role your ability to plan, schedule and prioritise your work, along with meet strict deadlines will be essential.
